How a three-person online skincare store clears its order emails in about 20 minutes a morning

In short

What changed

We work with a three-person online skincare store where the founder spent most evenings on order emails. About half of them asked where a parcel was. We set up an AI helper that looks up each order in Shopify and drafts the reply with the tracking link already in it. The founder now clears the order emails in about 20 minutes each morning.

Order emails ate the founder’s evenings

We work with a three-person online skincare store. The founder runs the store, the products, and most of the customer emails, and those emails used to fill most evenings. About half of them asked the same thing, which was where a parcel had got to.

Every answer took the same steps. Open the store, find the order, copy the tracking link, paste it into a reply, and write a friendly line around it. None of it was hard, but it happened dozens of times a week, and it always landed after the packing was done.

What we set up

We set up an AI helper (the industry calls it an agent) that reads each new customer email in Gmail. When the email is about an order, the AI helper looks the order up in Shopify and drafts a reply with the tracking link already in it, written in the store’s own friendly tone. The draft sits in the inbox for the founder to read, change if needed, and send.

To get there, we connected the store’s tools first (the industry calls these links data pipelines), so the AI helper could see the store’s inbox and its Shopify orders together. That took most of the three weeks. Writing the instructions for the replies took far less time than getting the order lookups right.

What didn’t work the first time

Our first version sent the simple tracking replies on its own. It worked well for a few days. Then a customer wrote in because a jar had arrived broken, and the AI helper answered with a cheerful tracking link. The founder caught it, called the customer, and we switched auto-send off that same week.

Now every reply waits for a person. That costs the founder a few seconds per email, and it means nothing goes out that the founder hasn’t read.

What changed, and what still needs a person

The founder now clears the order emails in about 20 minutes each morning instead of across the evening. That figure comes from the founder’s own timing over the first four weeks, measured against a two-week log kept before we started.

The founder still reads and sends every reply, and handles any complaint personally. Returns still go through by hand, because each one needs a call about the product that the AI helper can’t make.

Where this fits

This is one of our AI helpers, the kind of job we set up and keep running inside a Plexsive package. It works because the question is common, the answer lives in one place, and a person checks the result. If your inbox looks like this, get your AI Starter Plan. You’ll tell it where your week goes, and it’ll show you where to start.

Measured by the founder over four weeks

What changed

01

About 20 minutes a morning

The founder clears the order emails in one short session each morning instead of across the evening. That's the founder's own timing over the first four weeks, against a two-week log kept before we started.

02

A person sends every reply

The AI helper drafts. The founder reads each draft, changes anything that needs it, and presses send. Complaints get a personal reply.

03

Returns stay by hand

Each return needs a call about the product, so returns still go through the founder from start to finish.

FAQs

Common questions

Does the AI helper send emails on its own?
No. Our first version sent the simple tracking replies on its own, and then it answered a customer whose jar had arrived broken with a cheerful tracking link. We switched auto-send off that week. Now every reply waits for the founder.
What does the AI helper need access to?
It reads new emails in the store's Gmail inbox and looks up orders in Shopify. It drafts replies inside Gmail, so the founder works in the same inbox as before.
How long did it take to set up?
About three weeks from the first conversation to the founder using it every morning. Most of that time went on testing the drafts against real emails from the store's own inbox.
