Your paid staff are stretched across everything
A small charity or community group has a couple of paid staff and a lot of volunteers. The paid staff do the work with the people you help, and they also do the funder reports, the rosters, and the emails. The admin always seems to win.
We work with a community food relief charity with two paid staff and about thirty volunteers. Every quarter, its coordinator lost close to a week to the report its main funder asks for. The numbers lived in three different volunteer spreadsheets.
Where your week goes
For most charities, it’s reporting. Funders ask for numbers in their own format, and those numbers sit in spreadsheets, paper logs, and inboxes.
Then it’s the volunteers. Rosters get built from texts and messages, gaps get filled by ringing around, and the same questions about shifts and sign-ups come in every week.
Why buying a tool alone falls short
Volunteer and reporting apps exist, but most ask you to move everything into their system first, and a small team rarely has the time to do that. A general AI app can write a report, but it doesn’t know your numbers, so it can’t be trusted with a funder.
What makes AI useful here is working from the information you already keep. We connect the AI helper to your spreadsheets and your messaging tools, keep it to the parts that follow a pattern, and leave the people and the judgement to your staff. You can read how we think about this in our approach.

How we build it
We map how a report or a roster comes together each week or quarter, then set up one AI helper for the job that takes your staff away from the work.
For the food relief charity, the AI helper reads all three sheets, adds up the meals served and the homes helped, and puts the totals into the funder’s form. The coordinator checks every number before the report goes out. The first draft now takes about a day. One volunteer site still logs meals on paper, so someone types those totals in by hand before the AI helper runs.
For an animal rescue with one paid coordinator and 45 volunteers, the weekly roster was built by hand from texts. Now an AI helper collects availability, drafts the roster, and messages people about the gaps. The roster is done in an hour instead of an evening. The coordinator still makes the final call on who handles new animals.
Rules that apply to you
Funders need numbers they can trust, so a person checks every total before a report goes out. Volunteer and client details stay in the tools you already control, and the AI helper sees only what each job needs. The stories about the people you help stay in your staff’s words.
What good looks like
Good looks like a funder report that starts from a filled-in draft, a roster that takes an hour, and paid staff with more of their week for the people you help. Read the full stories from the food relief charity and the animal rescue, or see reports that write themselves and automating repeat work.
