Where small teams get stuck without a tech person

In a business with one to ten people, nobody’s job title is technology. So it lands on whoever is closest, which is usually the owner. We run a small business too, so we know where the evenings go.

Three things tend to follow. Technology only gets attention when something breaks, so the same fire gets fought twice. Apps pile up, each one bought to fix one problem, until nobody’s sure which tool does what or what you’re paying for. And AI stays on the to-do list. You know it could help, but there’s no time to work out where, and no one to ask who knows your setup.

Why one-off help falls short

The usual fixes both miss for a small team. Hiring a tech person costs a full salary for a job that doesn’t need one. A freelancer or one-off project fixes today’s problem, then leaves, and the next problem starts from scratch because nobody remembers how things were set up.

Buying another app doesn’t fix it either. A new tool can’t tell you which job to hand to AI first, whether a subscription is worth keeping, or why the last automation stopped working. What helps is a small team that knows your business and stays.

How the AI & Technology Partner works

We start with your free AI Starter Plan, so you see where AI would help before you pay anything. Then, if it suits you, you choose a package.

1. Map how you work. We look at where your week goes and pick the job that will save you the most time first.
2. Set up your AI helpers. We build them around the tools you already use, so you don’t change how you work to suit the software.
3. Connect your tools. We link your store, inbox, bookings, and accounts so information moves on its own.
4. Keep it running. When a tool updates or an AI model changes, we check your AI helpers still work and fix them if they don’t.
5. Review and adjust. On Small Team and Growing Team, a monthly call looks at what’s working and what to set up next.

The packages

Every package has a fixed price in AUD, with GST included.

• AI Starter Plan, free. Tell the AI about your business, your goals, and where your week goes. Get a plan for where to start. It’s for anyone.
• Solo, $990 a month. 1 AI helper set up and kept running, 2 hours a month of our time, and AI running costs included. Best for one person.
• Small Team, $1,950 a month. 2 AI helpers, half a day a month of our time, a monthly review call, and AI running costs included. Best for 2 to 5 people.
• Growing Team, $3,450 a month. 4 AI helpers, one day a month of our time, a monthly review call, and AI running costs included. Best for 6 to 10 people.

What it looks like in practice

Still Water Day Spa, a seven-person day spa in Noosa, had clients leave without rebooking, and follow-up texts went out when someone remembered. Now follow-up messages are drafted from each visit in Fresha and sent through Klaviyo. The rebooking rate went from 31% to 44% over three months. A new booking system rollout in the same period also helped, so we don’t claim all of that rise.

We also work with an animal rescue with one paid coordinator and 45 volunteers. The weekly roster used to take an evening of reading texts. An AI helper now collects availability, drafts the roster, and messages the gaps, and the roster is done in an hour. The coordinator still makes the final call on who handles new animals.

Moving up or down as you grow

Small businesses have busy seasons. A wedding venue’s spring isn’t its winter, and a store’s December isn’t its February. Because there’s no lock-in beyond the month, you can move up a package when you need more AI helpers or more of our time, and back down when things settle. Everything we set up is written down and stays in your accounts, so nothing is lost when you change packages.
