What we put in place
If you have staff, some of them are probably already using AI. They paste a customer email into ChatGPT to tidy it up, or drop a price list into a free tool to write a quote. Nobody told them not to, because nobody's had time to write anything down. We help you set simple rules for how your team uses AI (the industry calls it AI governance). That covers which tools are fine, which information stays out of them, and which questions always go to a person. For a team of one to ten, this is a page of plain rules and a few settings, kept up to date as the tools change. It means you can say yes to AI without wondering where your customers' details ended up.

Your team is probably already using AI
Ask most small business owners whether their staff use AI and the answer is “a bit, I think.” Ask the staff and it’s usually more. Someone tidies customer emails in ChatGPT. Someone else drops a supplier price list into a free tool to write a quote. None of them are doing anything wrong, because nobody’s said what’s okay.
That’s normal, and it’s fixable. Setting simple rules for how your team uses AI (the industry calls it AI governance) means everyone knows which tools to use, what to keep out of them, and which questions a person always answers. For a team of one to ten, that’s a short page and a few settings, not a binder.
Where small teams get stuck
The worry is real but vague. You’ve heard AI tools can keep what you type, and you’ve heard stories about AI giving confident wrong answers to customers. So you either ban it, and your team uses it anyway on their phones, or you let it run and hope.
Neither works well. A ban pushes AI use out of sight. Hoping means a customer’s health notes or bank details can end up in a personal account you don’t control.
What safe AI use looks like for a small team
It comes down to a few things everyone can point to.
- A one-page policy that says which AI tools to use and what never goes into them.
- Business accounts set up properly, with settings that keep your data out of model training where the tool allows it.
- A list of hand-offs for each AI helper, so the questions that need a person reach one.
- A simple record of what each AI helper did, so you can answer a customer who asks.
The hand-offs matter most. We work with a solo brow and lash artist whose AI helper answers Instagram questions about prices and availability while the artist is with a client. Anything about allergies or skin goes straight to the artist, every time. The AI helper is good at the booking questions. It has no business guessing about a reaction.

How we put it in place
We build the rules around how your business works, then keep them current as the tools change.
- See how AI is used now. We ask your team, without blame, which tools they use and for what.
- Write the rules. We draft a one-page policy in plain words and walk through it with you.
- Set up the tools. We move your team onto business accounts with the right settings, so the safe way is also the easy way.
- Mark the hand-offs. For each AI helper, we write down the questions it must pass to a person.
- Keep it current. AI tools change their settings and terms often, so we check them as part of your package.
Where data lives
Most small teams run in the cloud, and with the right settings that’s fine. If you hold information that must stay private on your own systems, like client files you’ve promised never to share, we can set things up so it stays there (the industry calls this sovereign AI). The AI model you use is kept separate from your data and instructions, so you’re never tied to one provider.
Where our help stops
We set up the tools, the rules, and the records. We aren’t lawyers. The Privacy Act 1988 applies to many businesses with an annual turnover over $3 million and to some smaller ones, like health service providers, and the Office of the Australian Information Commissioner website explains who’s covered. For anything about your legal duties, get proper legal advice. And the rules are never finished. They’re something you keep up as your team and your tools change.
Using AI safely by industry
Every industry has its own lines a person shouldn’t hand over. See how it applies in beauty and wellness, coaching and online education, real estate, and not-for-profits.
What we put in place
A one-page AI policy
Plain rules your team will read: which AI tools to use, what's fine to paste in, and what never goes in, like customer card details or health notes.
Approved tools, set up properly
Business accounts for the AI tools you use, with the settings that keep your data out of model training where the tool allows it.
Clear hand-offs to a person
For every AI helper, a written list of questions it must pass to a person, like allergies, complaints, a customer's own tax, or anything urgent.
Private data kept private
Most small teams run in the cloud. If some of your information must stay on your own systems, we set it up so it can.
A record of what the AI does
A simple log of what each AI helper did and when, so if a customer asks, you can show them.
Where a person stays in the loop

A brow and lash artist's Instagram enquiries

An online bookkeeping course's student questions

A property manager's maintenance requests
Small teams we work with

How a three-person online skincare store clears its order emails in about 20 minutes a morning
