Your numbers in one place, so the AI sees the whole picture

Your numbers in one place, so the AI sees the whole picture

What we set up

Most small teams keep their information in five or six places. Sales sit in Shopify or Square, bookings sit in another app, and the numbers that matter live in a spreadsheet one person understands. That's fine until you ask AI a question, because the AI can only answer from what it can see. We set up one home for your data (the industry calls it a data lake), so your sales, orders, bookings, and notes sit together and stay up to date on their own. Then your AI helpers work from the full picture instead of a single file. It's the same setup a bigger company pays a data team for, sized for a team of one to ten and kept running inside a fixed-price package.

What one home for your data is

Every small business has a few places where the real numbers live. There’s the store or booking app, the accounts in Xero, an inbox full of orders, and the spreadsheet that holds it all together because one person keeps it up. One home for your data (the industry calls it a data lake) brings that information into one place and keeps it fresh without anyone copying it across.

For a team of one to ten, this is rarely a big piece of tech. It’s usually a well-built Google Sheet or Airtable base that fills itself in each day from the tools you already use. The size isn’t what matters. What matters is that it’s one place, it’s up to date, and it’s yours.

Where small teams get stuck

You’ve probably tried asking an AI tool a question about your business and got an answer that sounded sure of itself and was wrong. That happens because the AI only saw the one file you gave it. It didn’t see last month’s refunds, the bookings in the other app, or the orders that came in by phone.

So the numbers get pulled together by hand. We work with a four-person fashion boutique where the owner counted sell-through by hand every Sunday to decide what to reorder. We also work with a community food relief charity where the coordinator spent close to a week each quarter turning three volunteer spreadsheets into one funder report. Both had the data. It sat in too many places.

Why a new tool alone doesn’t fix it

The usual answer is to buy one more app that promises to do everything. Then you have seven places instead of six. A reporting app can’t report on numbers it can’t reach, and an AI helper can’t answer from a sheet nobody updated.

What fixes it is the work around the tools. Somebody has to connect each source, decide which figure wins when two disagree, and check the totals still add up next month. That’s the part we do, and it’s the part that keeps working after the setup is done.

How we set it up

We keep it small and get one useful result early, so you see the value before anything else gets built.

  1. Find the question. We start with the one report or answer you need most, like what to reorder this week or how many meals you served this quarter.
  2. List where the numbers live. We work out which tools hold each piece and which bits still live on paper or in someone’s head.
  3. Connect and tidy. We link each tool to one home, clean up duplicates, and set it to update on its own.
  4. Check it with you. You compare the first totals against what you already know. If something’s off, we find out why before any AI helper uses it.
  5. Put it to work. Once the numbers hold, an AI helper can build the report or answer the question from the full picture.

What changes in your week

For the fashion boutique, the Sunday stocktake is gone. A report built from Square sales now lists what sold, what sits, and suggested reorders, and the owner still makes every buying decision. For the food relief charity, the quarterly report now starts from a filled-in draft that takes the coordinator about a day, and the coordinator checks every total against the source sheets before it goes to the funder.

Not everything connects. The charity has one site that still logs meals on paper, so those totals are typed in by hand first. We’ll always tell you which parts we can bring together and which ones still need a person.

The tools differ from one industry to the next, but the problem looks the same. See how it applies in e-commerce, fashion, hospitality and events, and not-for-profits.

What's included

What we set up

01

One home for your numbers

Your sales, orders, bookings, and volunteer or client lists gathered into one place you own, usually a well-kept Google Sheet or Airtable base, so nobody has to hunt across apps for a figure.

02

Updates that run on their own

We connect your tools to that home so new orders and bookings land there each day without anyone copying them across. If a link breaks, we see it and fix it.

03

Tidy, matching records

We clean up the basics, like the same customer saved three ways or dates in two formats, so totals add up and the AI isn't working from a muddle.

04

A starting point for your AI helpers

Once your data lives in one place, an AI helper can build a weekly report, answer a question about last month, or spot what's selling slowly.

05

Your data stays yours

The home we set up sits in your own accounts. If you stop working with us, it stays where it is and keeps working.

FAQs

Common questions

What does one home for your data mean?
It means the information your business runs on sits in one place instead of being spread across your store, your inbox, and a few spreadsheets. For a small team that's often a single Google Sheet or Airtable base that fills itself in each day. The industry calls the bigger version a data lake.
Do I need this before I can use AI?
Not always. If your first AI helper only needs your inbox, we can start there. But once you want reports or answers that draw on more than one tool, the AI needs your numbers in one place, or it'll answer from half the picture.
Will I have to change the tools I use?
No. You keep using Shopify, Square, Xero, Fresha, or whatever you run today. We connect those tools to one home in the background, so your week stays the way it is.
Where does my data live, and who owns it?
It lives in accounts you own, which for most small teams means the cloud tools you already pay for. If some of it must stay private on your own systems, it can. Either way, it's your data and it stays yours if you leave.
What if part of my business still runs on paper?
Then someone still types those numbers in. We work with a food relief charity where one volunteer site logs meals on paper, so those totals go in by hand before the AI helper runs. We'll tell you plainly which parts we can connect and which we can't.
How much does it cost?
Setting up and looking after one home for your data is part of our fixed-price packages, which start at $990 a month for Solo. That covers 1 AI helper set up and kept running, 2 hours a month of our time, and AI running costs. The packages page lists all four.
