The enquiry arrives during service
A small venue or cafe runs on the people in front of you. Weddings, events, and catering orders come in at the same time, by form, email, and phone. Every one needs a custom answer, and the person who can give it is busy serving.
We work with The Orchard Barn, an eight-person wedding venue in the Barossa. Every enquiry needed a custom quote worked out from a price sheet, and getting it out could take up to 3 days.
Where your week goes
For venues and event businesses, it’s quotes. Each enquiry has a date, a guest count, and a list of extras, and turning that into a price takes time you don’t have on a busy weekend.
For cafes and caterers, it’s orders. They arrive by email, phone, and form, and end up on a whiteboard or a notepad. The one that gets missed is the one you hear about.
Why buying a tool alone falls short
Booking and quoting apps want you to rebuild your packages to fit their way of doing things. A general AI app can write a nice reply, but it doesn’t know your price sheet or your dates, so the numbers can be wrong.
What makes AI useful here is connecting it to your real prices, dates, and orders. We set the AI helper up around the tools you already use and keep a person checking every quote and every order. You can read how we think about this in our approach.

How we build it
We map how an enquiry or an order moves from first contact to the day, then set up one AI helper for the step that holds things up.
For The Orchard Barn, the AI helper drafts the quote and a reply from the enquiry form. Quotes now go out within a day. The events manager still calls every couple before booking, because that conversation stays personal.
For a six-person cafe with a catering arm, orders came by email, phone, and form and were copied onto a whiteboard. Now they’re gathered into one sheet with a daily prep list. There were no missed orders in the first two months. Phone orders are still typed in by staff.
Rules that apply to you
Quotes are promises, so a person checks every one before it goes to a customer. Anything about allergies or dietary needs goes to a person, never to the AI helper alone. Customer details stay in the tools you already control.
What good looks like
Good looks like quotes out the same day or the next, a prep list waiting each morning, and fewer orders lost between the phone and the kitchen. Read the full stories from The Orchard Barn and the cafe, or see AI helpers and connecting your tools.
