AI for small real estate agencies and property managers

AI for small real estate agencies and property managers
Where to start

Where AI helps in real estate

In a small agency, the person who wins the listing also writes the copy, books the photos, and answers the tenant who texts at 9pm about a leaking tap. AI can take the first draft of that work off your desk. We work with a three-person boutique agency in Newcastle where listing copy took about 3 hours per listing, and now takes about 40 minutes. You still check every word, and the client relationship stays with you.

A small agency does everything twice

In a boutique agency, the same few people appraise the property, write the copy, run the campaign, and answer the buyers. A solo property manager handles every tenant, every owner, and every tradie on their own. The work that pays is the relationship. The work that fills the day is writing and sorting.

We work with Harbour Lane Property, a three-person boutique agency in Newcastle. Their agent wrote every listing description and campaign email by hand from appraisal notes, and it took about 3 hours per listing. That’s a lot of evenings over a year of listings.

Where your week goes

Most of the hours go on three things. Listing copy comes first, because each property needs a description, an email to your database, and captions for social, and they all say the same thing in a different shape. Then come enquiries, which arrive when you’re at an open home and need a reply before the buyer calls the next agent. For property managers, it’s repair requests that land by text, email, and portal, each one needing photos, a tradie, and a follow-up.

None of this needs your judgement on every line. It needs your judgement on the final version, and that’s where AI fits.

Why buying a tool alone falls short

There are plenty of AI writing apps for agents, and they’ll give you a listing description in seconds. The trouble is that it reads like everyone else’s, because the app has never seen your notes, your past listings, or how your principal likes a headline. So you rewrite the whole thing and save nothing.

What makes AI useful in a small agency is the setup around it. We connect the AI helper to your real listing notes and photos in Rex, give it your best past listings to learn your voice, and tune the instructions until the drafts need light edits instead of a rewrite (the industry calls this prompt optimisation). You can read how we think about this in our approach.

How we build it

We start by mapping how a listing or a repair request moves through your week, step by step. Then we pick the one job that costs you the most time and set up a single AI helper for it.

For Harbour Lane Property, that job was listing copy. The AI helper now drafts the listing copy, the campaign email, and the social captions from the agent’s notes and photos in Rex. The principal still rewrites every headline, because that’s where the agency’s voice matters most.

For a solo property manager with 140 rentals, the job was repair requests. The AI helper sorts each request, asks the tenant for photos, and drafts the job for the tradie, so requests are logged the same day. Urgent jobs still go to a phone call, because a burst pipe needs a person on the line.

A person checks everything before it leaves the office. We grow the setup only once you trust what it drafts.

Rules that apply to you

Real estate is licensed state by state, and trust accounting and tenancy notice rules differ across Australia. We keep the AI helper on drafting and sorting, and away from anything that carries legal weight, like trust money or notice periods. Your tenant and vendor details stay in the tools you already control.

What good looks like

Good looks like listing copy that takes about 40 minutes instead of about 3 hours, enquiries answered while the buyer is still keen, and repair requests that don’t sit in three inboxes. You still make every call that matters. The same setup works across small businesses. See how it fits marketing and creative agencies, hospitality and events, and e-commerce. When you’re ready, get your AI Starter Plan or look at our packages.

What we set up

How we help agencies and property managers

01

Listing copy from your notes

An AI helper (the industry calls it an agent) that reads your appraisal notes and photos and drafts the listing description, the campaign email, and the social captions in your agency's voice, ready for you to edit.

02

Repair requests sorted the same day

An AI helper that reads each repair request from text, email, or the portal, works out how urgent it is, asks the tenant for photos, and drafts the job for the tradie.

03

Enquiry replies

Drafted first replies to buyer and rental enquiries, with the inspection times and the details from your listing already in them, so a good lead doesn't wait until tonight.

04

Connecting your tools

Moving information between Rex, your inbox, and your spreadsheets (the industry calls these data pipelines), so the AI helper works from your real listings and properties, not a guess.

05

Mapping how you work

We sit down with you and write out, step by step, how a listing or a repair moves through your week (process mapping), so the AI helper starts on the job that costs you most.

FAQs

Common questions

How can a small real estate agency use AI?
Start with the writing that eats your evenings. Listing descriptions, campaign emails, social captions, and first replies to enquiries all follow a pattern, so an AI helper can draft them from your notes. You read the draft, fix what needs it, and send it. The appraisal, the negotiation, and the relationship with the vendor stay with you.
Will the listing copy sound like every other agency?
It shouldn't, because we set the AI helper up with your past listings and the way you write. Harbour Lane Property's principal still rewrites every headline, because that's where the agency's voice shows most. Most agencies keep a step like that, and we build it in.
Can AI handle tenant repair requests?
It can sort them, ask the tenant for photos, and draft the job for the tradie, which is most of the back and forth. It shouldn't decide what's urgent on its own. For the solo property manager we work with, anything urgent still goes to a phone call, and that's on purpose.
Does it work with Rex and the tools we already use?
Yes. We set things up around the tools you already run, like Rex, Gmail, Canva, and your spreadsheets, so you don't have to change how you work to fit a new app. If a tool can't connect, we tell you before we start.
What about trust accounts and tenancy rules?
Those stay with you and your licensee. Trust accounting and tenancy notice rules differ from state to state, so we keep the AI helper away from decisions that carry legal weight. It drafts and sorts. A person signs off.
What does it cost?
Our packages have a fixed price. Solo is $990 a month, which covers 1 AI helper set up and kept running, 2 hours a month of our time, and the AI running costs. Small Team is $1,950 a month for 2 to 5 people, with 2 AI helpers, half a day a month of our time, and a monthly review call. You can see them all on the packages page.
