An AI helper that turns a HubSpot enquiry into a quote and a reply

If you sell by quote, every enquiry starts a small job. Someone reads the form, checks the price sheet, works out the numbers, and writes a warm reply. In a small team, that can take days, and the enquiry cools while it waits. An AI helper (the industry calls it an agent) reads each new enquiry in HubSpot, drafts the quote from your price sheet, and writes the reply for a person to check. Your team still makes the call and the relationship, but the first draft is ready the same day.

What you get

What we set up for you on HubSpot

01

Quote drafts from your price sheet

The AI helper reads the details on the enquiry form, applies your prices and rules, and drafts a quote for your team to check.

02

A reply that sounds like you

It writes the email that goes with the quote, in your tone, and saves it for a person to read and send.

03

Notes kept in HubSpot

What was asked, what was quoted, and what's still unclear are logged on the contact, so anyone on the team can pick it up.

04

Flags for the unusual ones

Requests that fall outside your price sheet, like an odd date or a special request, get flagged for a person instead of guessed at.

05

We keep it running

When your prices change or HubSpot updates, we update the AI helper. You don't need to learn how it works underneath.

Your enquiries cool while the quote gets written

When a new enquiry lands, the clock starts. The person asking has probably contacted two or three other businesses too. But in a small team, the person who writes quotes is also running events, serving customers, or doing the books. So the enquiry waits a day, then two, while someone finds the time to check the price sheet and write something thoughtful.

Why HubSpot on its own doesn’t do the job

HubSpot is very good at keeping your contacts, your enquiries, and your emails in one place, and its AI tools can help write an email or sum up a contact’s history. But HubSpot doesn’t know your price sheet, your minimum spends, or that Sunday bookings in spring cost more. Those rules usually live in a spreadsheet and in one person’s head. So the quote still waits for that person.

An AI helper brings the two together. It reads the enquiry in HubSpot, applies your written rules, and drafts both the quote and the reply.

How we set it up on HubSpot

We work with The Orchard Barn, an eight-person wedding venue in the Barossa. Every enquiry needed a custom quote from a price sheet, and it could take up to 3 days for one to go out. We set up an AI helper that reads each enquiry form, drafts the quote, and writes a reply, with Gmail sending the email once a person has checked it.

Quotes now go out within a day. The events manager still calls every couple before they book, because nobody chooses a wedding venue from an email alone. Read The Orchard Barn story.

The hardest part of the setup was writing the price sheet down properly. We started by mapping how you work (the industry calls it process mapping), which meant listing every rule the events manager used, including the ones nobody had ever written down.

When HubSpot is the right place to start, and when it isn’t

An AI helper on HubSpot pays off when your enquiries already come in through HubSpot forms or emails, and your quotes follow rules you can write down. Venues, caterers, agencies, and service businesses often fit. It’s a poor fit when every job is fully custom and the price depends on a site visit or a long conversation. Then the AI helper can draft the reply and book the call, but the quote stays with you.

FAQs

Common questions

Doesn't HubSpot already have AI built in?
Yes. HubSpot has its own AI tools, which it calls Breeze, and they can help write emails and summarise records. What we set up is shaped around one job in your business, like quoting from your price sheet, and it does that job the same way every time with your rules.
Will it send quotes to customers on its own?
No. Every quote and reply waits for a person. Prices are where a small mistake costs real money, so a person always checks before anything goes out.
Do I need a paid HubSpot plan?
It depends on what you already use and what we need to connect. We look at your current HubSpot setup first, and we work with what you have before suggesting you pay for more.
What if my prices aren't in a neat sheet?
That's common. Part of the setup is writing your pricing rules down clearly, including the exceptions you carry in your head. That alone often helps a small team quote more consistently.
Can it handle phone enquiries?
It works from what's written down, like form entries and emails. If a phone enquiry gets logged in HubSpot with notes, the AI helper can work from those notes too.
What does it cost?
Every package has a fixed price on the packages page. The Growing Team package is $3,450 a month and covers 4 AI helpers, one day a month of our time, a monthly review call, and the AI running costs, for teams of 6 to 10 people.
