Pay overseas suppliers through Airwallex without retyping every invoice

Automating repeat work with Airwallex

Pay overseas suppliers through Airwallex without retyping every invoice

If you buy from makers, factories, or freelancers overseas, each invoice means reading the amount, the currency, the bank details, and the due date, then typing them into a payment. Airwallex makes paying in other currencies easier, but the reading and typing still land on you. An AI helper (the industry calls it an agent) can read each invoice, prepare the payment details, and flag anything new or odd. You check the list and approve the payments yourself, so no money moves without you.

What you get

What we set up for you with Airwallex

01

Invoices read for you

The AI helper reads overseas supplier invoices from your inbox and picks out the supplier, amount, currency, and due date.

02

A payment list to approve

A clear list of what's due, in which currency, and to whom, ready for you to check and pay in Airwallex.

03

New bank details flagged

If a supplier's bank details change or look new, the AI helper flags it for a phone call before anyone pays.

04

Your accounts kept in step

We connect the payment side with your accounting software, so your bookkeeper isn't matching things up by hand.

05

No payment made on its own

The AI helper prepares. You approve and pay, every time.

Every overseas invoice is a small puzzle

If you buy fabric from a mill in another country, stock from a maker overseas, or design work from a freelancer abroad, the invoices come in all shapes. Some are PDFs, some are in the email body, and some have the bank details on page three. Each one means reading the amount and currency, finding the right details, checking the due date, and typing it all into a payment. It’s slow, and one wrong digit sends money to the wrong place.

Why Airwallex on its own doesn’t do the job

Airwallex is built for paying and getting paid in other currencies. It lets a small business hold money in different currencies and pay overseas suppliers without the old bank-transfer hassle.

But Airwallex starts at the payment. It doesn’t read the invoice in your inbox, notice that a supplier’s bank details have changed, or line the payment up with the bill your bookkeeper needs. That part is still you, one invoice at a time.

How we set it up with Airwallex

We start by mapping how you work (the industry calls it process mapping). We list your overseas suppliers, how their invoices arrive, how you pay them now, and who checks what.

Then we set up an AI helper that reads each overseas invoice as it lands in your inbox. It picks out the supplier, amount, currency, and due date, and adds the invoice to a payment list. If the bank details are new or different from last time, it flags them, and you call the supplier before paying. Once a week you open the list, check it, and make the payments in Airwallex yourself.

We also connect the payment side with your accounting software, so the bill and the payment line up and your bookkeeper isn’t matching them by hand.

When Airwallex is the right call, and when it isn’t

It’s worth setting up when you pay overseas suppliers regularly and the invoices come by email. The time saved grows with every supplier you add.

If you pay one overseas supplier twice a year, a careful manual payment is fine. And an AI helper should never be the last check on where money goes. Changed bank details always get a phone call from a person, because that’s where invoice scams hide.

FAQs

Common questions

Will the AI helper pay my suppliers?
No. It prepares the details and a list for you to check. You approve and send every payment in Airwallex yourself.
What about invoice scams?
Fake invoices and changed bank details are a real risk for small businesses paying overseas. The AI helper flags any new or changed bank details, and we recommend a phone call to the supplier on a number you already have before paying.
Does Airwallex work with my accounting software?
Airwallex connects with several popular accounting tools. We check your setup and connect your tools so payments and bills match up without a second round of typing.
What if an invoice is unclear?
If the AI helper can't read something clearly, like a handwritten note or a total that doesn't add up, it puts the invoice on a list for you instead of guessing.
What does it cost?
Every package has a fixed price, shown on the packages page. The Solo package covers one AI helper set up and kept running, two hours a month of our time, and the AI running costs, for $990 a month.
