Chase overdue invoices in MYOB without writing every reminder yourself

Chasing unpaid invoices is the job most owners put off, because each reminder needs the right tone for the right client. An AI helper (the industry calls it an agent) can check MYOB each week for overdue invoices and draft a reminder for each one, firmer for the long overdue and gentler for the good client who forgot. You read every draft before it goes. The money comes in sooner, and you stop spending Friday afternoon dreading the list.

What you get

What we set up for you in MYOB

01

A weekly check of unpaid invoices

The AI helper reads your open invoices in MYOB each week and lists the ones that are overdue.

02

Reminders in your tone

A drafted email for each overdue invoice, with the amount and invoice number filled in, written the way you talk to clients.

03

Steps that get firmer over time

A friendly nudge first, a clearer reminder next, and a flag to you when it's time for a phone call.

04

Clients you handle yourself

You choose the clients the AI helper never writes to, such as a key account or someone going through a hard time.

05

A short list for your bookkeeper

Invoices that look wrong, like a part payment or a disputed amount, go on a list for a person instead of getting a reminder.

The overdue list keeps growing because nobody likes chasing it

Every week, a few invoices slip past their due date. You know you should follow them up, but each one needs a different tone. One client always pays in the end and just needs a nudge. Another is two months late and needs a firmer note. So the list sits there, and the money you’ve already earned sits with your clients instead of in your account.

Why MYOB on its own doesn’t do the job

MYOB knows exactly which invoices are unpaid and by how many days. It can send invoices and help you follow them up.

What it can’t do is read the room. It doesn’t know that one client has been with you for years, or that another asked for a payment plan on the phone last week. A one-size reminder can sound cold to a good client and too soft to a slow one. So most owners end up writing each reminder by hand, which is why it doesn’t get done.

How we set it up in MYOB

We start by mapping how you work (the industry calls it process mapping). We ask how you chase invoices now, when a nudge turns into a phone call, and which clients you’d always handle yourself.

Then we set up an AI helper that checks MYOB each week for overdue invoices. For each one, it drafts a reminder in your tone, with the invoice number and amount filled in, at the right step for how late it is. Clients on your hands-off list get skipped. Anything that looks odd, like a part payment or a disputed amount, goes on a short list for you or your bookkeeper instead.

You open your inbox, read the drafts, change anything you want, and send. The AI helper never changes anything in MYOB, so your books stay exactly as your bookkeeper left them.

When automating MYOB is the right call, and when it isn’t

It’s worth it when you send a fair number of invoices each month and the overdue list keeps creeping up. The drafts take the dread out of the job, and the money comes in sooner.

If you only send a handful of invoices a month, MYOB’s own reminders or a quick personal email will do. And a client who’s struggling or upset needs a phone call from you, not a better-worded email. We’ll set the AI helper to flag those, not write to them.

FAQs

Common questions

Doesn't MYOB send reminders already?
MYOB has its own tools for sending invoices and following them up, and for some businesses that's enough. We set up an AI helper when you want each reminder written for the client, sent from your own inbox, and checked by you first.
Will it send emails without me seeing them?
Not unless you ask for it. By default, every reminder waits for you to read and send. Most owners keep it that way, because a reminder to the wrong client at the wrong time can cost more than the invoice.
Can it do other MYOB jobs?
Yes. Common ones are drafting supplier bills from emailed invoices and preparing a list of questions for your bookkeeper each month. We start with the job that costs you the most time.
Do I need to change accounting software?
No. We set it up around your MYOB file and your bookkeeper's way of working.
What does it cost?
Every package has a fixed price, shown on the packages page. The Solo package covers one AI helper set up and kept running, two hours a month of our time, and the AI running costs, for $990 a month.
