Let an AI helper do the weekly chasing in Slack

If your team or volunteers talk in Slack, a lot of weekly admin happens there too: asking who's free, reminding people of shifts, and chasing the gaps. An AI helper (the industry calls it an agent) can do that chasing. It asks for availability, collects the answers, drafts the roster or the update, and messages the people needed to fill a gap. Your coordinator checks the result and makes the calls that need judgement.

What you get

What we set up for you in Slack

01

Availability collected for you

The AI helper asks your team or volunteers when they're free and records the answers, so nobody scrolls back through messages.

02

A drafted roster

From the answers, the AI helper drafts the week's roster or schedule for your coordinator to check.

03

Gaps followed up

When a shift or job has no one, the AI helper messages the people who could fill it.

04

Reminders that go out on time

Shift reminders and weekly check-ins go out in Slack without anyone setting an alarm to send them.

05

Clear lines for people

Decisions that need care, like who handles a sensitive job, stay with your coordinator.

The roster takes an evening of messages

Every week, someone has to work out who’s on. They send a message asking for availability, wait, read through the replies, chase the people who didn’t answer, build the roster, and then chase again to fill the gaps. For a small team or a group of volunteers, that person is often the busiest one you’ve got, and it eats an evening that should be theirs.

Why Slack on its own doesn’t do the job

Slack is a good place for a team to talk, and it has its own workflow tools for simple forms and reminders. If everyone answers a form the same way, those tools can take you a long way.

Real replies aren’t that tidy. People say “probably Thursday, maybe Saturday morning if my sister has the kids.” Slack’s workflow tools can’t read that and turn it into a roster. So the coordinator still reads every message, builds the roster by hand, and works out who to chase.

How we set it up with Slack

We work with an animal rescue that has one paid coordinator and 45 volunteers. The weekly roster was built by hand from texts, and it took the coordinator an evening.

We set up an AI helper that collects availability, drafts the roster in Airtable, and messages the gaps in Slack. The roster now takes about an hour instead of an evening. The coordinator still makes the final call on who handles new animals, because that needs someone who knows each volunteer’s experience. Read the animal rescue story.

We started by mapping how you work (the industry calls it process mapping). That meant writing down how the roster was built, which shifts needed experienced people, and when a gap became urgent. Those rules are what the AI helper follows.

When Slack is the right call, and when it isn’t

It’s a good fit when most of your team or volunteers already use Slack and the weekly chasing happens there. The AI helper works where people already are.

If half your people only answer texts, Slack alone won’t reach them, and that’s worth sorting out first. And any decision that needs care, like who looks after a new animal or a difficult client, stays with a person. We set it up that way from the start.

FAQs

Common questions

Doesn't Slack already have workflows?
Slack has its own workflow tools for simple forms and reminders, and we use them where they fit. An AI helper adds the parts that need reading and judgement, like making sense of messy replies and drafting a roster from them.
Our volunteers aren't all on Slack. Does that matter?
It can. The AI helper works best when most people answer in one place. If some people only use text, we'll talk through whether to bring them into Slack or handle them another way.
Will it decide who works when?
It drafts. Your coordinator reviews the roster and makes the final call, especially on anything that needs experience or care.
Where does the roster live?
Usually in a simple base, like Airtable or a spreadsheet, so the team can see it outside Slack too. The AI helper keeps it up to date.
What does it cost?
Every package has a fixed price, shown on the packages page. The Solo package covers one AI helper set up and kept running, two hours a month of our time, and the AI running costs, for $990 a month.
