What Fresha is
Fresha is booking and payments software for salons, spas, barbers, nail studios, and wellness businesses. Your team uses it to run the appointment book and take payment at the counter, and clients can find you and book online through Fresha’s own marketplace. It also sends appointment reminders and marketing messages.
Fresha is strong at the booking itself. It doesn’t know which client would come back with a personal note, and what that note should say after a facial versus a massage.
How a small team uses it with AI
We work with Still Water Day Spa, a seven-person day spa in Noosa. Clients often left without rebooking, and the follow-up texts happened when someone remembered. We set up an AI helper (the industry calls it an agent) that drafts a follow-up message from each visit in Fresha, and the spa sends them through Klaviyo. Over three months, the rebooking rate went from 31% to 44%. A new booking system rollout in the same period also helped, so not all of that rise came from the follow-ups. Read the full story.
What we connect and build around it
- Connecting your tools (data pipelines), so visit records from Fresha reach the AI helper and the drafts reach your email tool.
- Better instructions (prompt optimisation), with your tone and your rules on what a message can and can’t say.
- Reports that write themselves, so you see who rebooked each week without counting by hand.
Where Fresha falls short
Fresha limits what outside tools can read, so some steps can’t run on their own and need someone to export a list. We tell you which ones before we start. The AI helper also can’t judge a client’s skin, health, or mood after a visit. Anything personal stays with your team.
