Google Workspace for small teams

Where it fits

How we use Google Workspace for small teams

Google Workspace is where most small teams already keep their week: email in Gmail, numbers in Sheets, documents in Docs, files in Drive. That's good news for AI, because the information it needs is already in one family of tools. We connect Workspace to an AI helper (the industry calls it an agent) that reads the right sheet or inbox and drafts the report, the client update, or the reply. A person checks it before it goes anywhere. You keep working in the tools you know, and the hours spent copying between them come back.

What Google Workspace is

Google Workspace is Google’s set of business tools: Gmail, Calendar, Drive, Docs, Sheets, Slides, Meet, and Chat, under your own business email address. Many plans also include Gemini, Google’s AI, inside those apps. For a lot of small teams, it’s where every email, number, and document already lives.

How a small team uses it with AI

Because the information already sits in one place, Workspace is often the quickest place to start with AI. The weekly jobs that eat time are usually a copy from one Google app into another.

We work with a community food relief charity with two paid staff and about thirty volunteers. Every quarter, the coordinator lost close to a week to the main funder’s report, because the numbers lived in three volunteer spreadsheets. We set up an AI helper (the industry calls it an agent) that reads all three Google Sheets, adds up the meals served and the households helped, and fills the totals into the report. The coordinator checks every number. The first draft now takes about a day. We tried having it write the stories about people the charity helps too, but staff wanted those in their own words, so it only does the numbers. Read the full story.

The same shape works elsewhere. A four-person fashion boutique gets a weekly reorder report in Sheets built from its Square sales, and Saltbush Studio’s Friday client updates go out through Workspace.

What we connect and build around it

  • Connecting your tools (data pipelines), so your store, bookings, or project board feed the right sheet.
  • One home for your data (a data lake), when the same numbers are spread across too many files to trust.
  • Better instructions (prompt optimisation), so drafts follow your format every time.

Where Google Workspace falls short

Sheets are easy to change, which also makes them easy to break. A renamed column or a new tab can throw off an AI helper that reads them, so we keep the sheets it relies on simple and tell you which ones not to rearrange. Workspace also can’t see paper notes or phone calls, so someone still types those in.

What we build

What we set up around Google Workspace

01

Reports drafted from your sheets

The AI helper reads your Google Sheets, adds up what matters, and drafts the report in Docs or Slides for you to check.

02

Replies drafted in Gmail

New emails get a drafted reply using your orders, prices, or past answers, waiting in Gmail for a person to send.

03

One sheet instead of five

Orders, enquiries, or rosters that arrive in different places get gathered into one Google Sheet the whole team can see.

04

Gemini set up with sensible rules

If your plan includes Gemini, we help your team use it well and write down what's fine to paste in and what isn't.

FAQs

Common questions

Doesn't Google Workspace already include AI?
Many Google Workspace plans now include Gemini, which helps inside Gmail, Docs, and Sheets. It's good for one-off writing and summaries. We build AI helpers when the same job happens every week and needs information from several places, like a report that pulls from three sheets.
Is our data safe if an AI helper reads our sheets?
We connect the AI helper only to the files and inboxes its job needs, through the business side of each AI provider, and we write down what it can read. Your files stay in your Google account.
We use Google Workspace and Microsoft 365. Is that a problem?
No. Plenty of small teams have a bit of both. We connect the AI helper to wherever the information for that job lives.
Our spreadsheets are messy. Do we need to clean them first?
A little. We find the sheets the first job needs and tidy those. For one charity, three volunteer sheets fed a single report, and a paper log at one site still gets typed in by hand first.
Can the AI helper send the report on its own?
We don't set it up that way to start. The report waits as a draft, a person checks every number, and then it goes. That's how we keep mistakes away from funders and clients.
