Meta Business Suite for small teams

Where it fits

How we use Meta Business Suite for small teams

Meta Business Suite is Meta's free tool for running a Facebook Page and an Instagram business account from one place. You can plan posts, answer messages, and see how your posts did. For a small team, it's where enquiries pile up and where the monthly numbers come from. The trouble is that both jobs still need a person to read every message and copy every number. We set up an AI helper (the industry calls it an agent) that gathers new messages into one list and drafts a first reply, or pulls the month's numbers and drafts the commentary for a client report. A person reads every draft before it goes out, and the strategy calls stay with you.

What Meta Business Suite is

Meta Business Suite is Meta’s free tool for running a Facebook Page and a linked Instagram business account together. It has a shared inbox for messages, a planner for posts, and a page of numbers on how your posts and ads did. Most small teams that sell or book through social media already have it, even if they mostly use the phone apps.

It’s built to manage Meta’s own channels. It won’t gather your email or website enquiries, and it won’t write a client report for you.

How a small team uses it with AI

We work with a solo business coach with an online course. Enquiries came through the website form, Instagram messages, and email, and some waited a week or more for a reply. We set up an AI helper (the industry calls it an agent) that gathers new enquiries from all three into one list each morning, sorts them into course questions and coaching enquiries, and drafts a first reply for each. Our first sort had a “just browsing” group, but the founder replied to those anyway, so we dropped it. Now the founder works from one list instead of three inboxes and still books every coaching call personally. Instagram comments aren’t collected yet, so the coach’s part-time assistant checks those by hand. Read the full story.

Agencies use it differently. We work with a four-person social media agency that built 18 monthly client reports by hand from Meta and Instagram numbers, which took two full days a month. Now the reports pull the numbers and draft the commentary, and the job takes half a day. The account lead still writes the strategy notes. Read the full story.

What we connect and build around it

  • Connecting your tools (data pipelines), so messages and numbers from Meta reach the AI helper alongside Gmail, your course platform, or your report template.
  • Better instructions (prompt optimisation), with your prices, links, and tone written down.
  • A review step, so a person reads every reply and every report before it goes out.

Where Meta Business Suite falls short

Meta sets the rules for what outside tools can read, and it changes them from time to time. That means a connection that works today can need fixing later, and some things, like comments, take extra setup. An AI helper also can’t judge tone in a heated public thread. Anything that looks like a complaint goes to you.

Where this fits

See how this shows up in connecting your tools and reports that write themselves, and in coaching and online education and marketing and creative agencies. To see where it could save your team time, get your AI Starter Plan.

What we build

What we set up around Meta Business Suite

01

One list for every enquiry

New Facebook and Instagram messages land in one morning list with your email and website enquiries, sorted by type, each with a drafted first reply.

02

Client reports that draft themselves

For agencies, we pull each client's monthly numbers and draft the commentary, so the account lead edits a report instead of building one.

03

Replies in your tone

We write down how you answer price, booking, and availability questions, so drafts sound like you and send people to the right link.

04

Clear lines for what a person handles

Complaints, refunds, and anything personal go straight to you, flagged at the top of the list instead of answered by the AI helper.

FAQs

Common questions

Meta Business Suite has automatic replies. Isn't that enough?
For simple things like an away message or a set answer to a common question, it often is, and we'd tell you to use it. An AI helper earns its place when the answer depends on your prices, your calendar, or your other inboxes, or when you want messages from every channel in one list.
Can an AI helper read my Facebook and Instagram messages?
Yes, through Meta's connection for business tools, once you give permission. Meta decides what outside tools can read and some access needs Meta's approval, so we check what your accounts allow before we promise anything.
Will the AI helper post for me?
We don't set it up to post on its own. It drafts captions and replies, and a person reads and publishes them. Your social accounts carry your name, so a person stays in charge of what goes out.
We're an agency with many client pages. Does this scale?
It does. We work with a four-person social media agency that sends 18 monthly client reports. The AI helper pulls each client's numbers and drafts the commentary, and the account lead still writes the strategy notes.
What about comments on my posts?
Comments are a separate feed from direct messages, and not every setup collects them. For the solo coach we work with, comments still get checked by hand. We tell you up front which channels the AI helper sees.
