What Rex is
Rex is an Australian real estate CRM and listings system, made by Rex Software. Agencies use it to keep track of contacts, appraisals, listings, campaigns, and open homes, and it can also run property management. Many boutique agencies use it as the one place where everything about a property and its buyers lives.
Rex stores the facts about a property well. It doesn’t write the words that sell it, so that job still lands on the listing agent, usually after hours.
How a small team uses it with AI
We work with Harbour Lane Property, a three-person boutique agency in Newcastle. The listing agent wrote every listing description and campaign email by hand from appraisal notes, and each listing took about three hours. We set up an AI helper (the industry calls it an agent) that drafts the listing copy, the campaign email, and the social captions from the notes and photos in Rex. The team designs the social pieces in Canva. Each listing now takes about forty minutes. The principal still rewrites every headline, because that’s where the agency’s voice matters most. What we connect and build around it
- Connecting your tools (data pipelines), so notes and photos from Rex reach the AI helper, and drafts come back where your team works.
- Better instructions (prompt optimisation), with your agency’s tone, your banned phrases, and your house rules written down and tested on past listings.
- Mapping how you work (process mapping), so we know which step of your listing process takes the most time before we build anything.
Where Rex falls short
The AI helper can only work from what’s in Rex. If the appraisal notes are two lines long, the draft will be thin, and the listing agent ends up writing it anyway. So the habit that helps most is writing fuller notes at the appraisal. The AI helper also can’t see a property. Light, outlook, and the feel of a street come from the person who walked through it.
