Follow one client from first message to rebooking
In a salon or studio, the treatment is the part you love and the part clients pay for. Around it sits a trail of messages, forms, reminders, and follow-ups. We sit with you and map that trail for one client, from their first Instagram message to their next booking. Then we mark the steps that eat time between clients. The treatment and the consultation stay yours, and the map makes that clear to everyone.

What we map in a salon or studio
First message to booking
How enquiries arrive in Instagram, by phone, and online, and how long they wait for an answer.
Before the appointment
Intake forms, reminders, and the prep your team does before a client sits down.
After the appointment
Aftercare, rebooking, reviews, and the follow-up that happens when someone remembers.
Behind the desk
Stock, rosters, gift vouchers, and takings, and who handles each one.
The trail around every treatment
A lash lift takes about an hour. The work around it is harder to count. The Instagram messages before booking. The intake form. The reminder. The aftercare text. The nudge to rebook. The review request. Each one takes a minute or two, but spread across a full book they fill the gaps between clients and spill into the evening. Most owners have never seen it laid out in one place.
How we map it
Mapping how you work (the industry calls it process mapping) means writing down each step of a job, who does it, which tool it happens in, and how long it really takes. For a salon or studio, we follow one client through, from first message to their next booking. We look at your Instagram, your booking system in Fresha, Mindbody, or Square, and how forms and follow-ups go out now. Then we mark what repeats, what waits on someone, and what only you should do.

What maps found in two businesses
We work with a solo brow and lash artist where the costly step was Instagram booking questions arriving during appointments. An AI helper now answers price and availability questions and sends the booking link, and anything about allergies or skin goes to the artist. We also work with Still Water Day Spa, a seven-person day spa in Noosa, where the gap was follow-ups after each visit. Rebookings went from 31% to 44% over three months, with a new booking system rollout also helping. Different steps, found by following a client through.
What a map won’t do
A map shows today and won’t change anything on its own. It also needs the real version of a week, including a Saturday when two therapists call in sick. If it only shows the smooth days, AI gets pointed at the wrong step.
