Map the path from first enquiry to finished student
A solo coach or a small course team does everything, and most of it lives in one head. We sit with you and map how someone moves from first enquiry to paying client or finished student, including every email, booking, and question along the way. Then we mark the steps that crowd out your sessions and content. The coaching itself, and the decision about who to work with, stays yours.

What we map in a coaching or course business
Enquiry to discovery call
Where enquiries come from, how long they wait, and how calls get booked.
Sale to onboarding
Payment, welcome emails, intake forms, and course access, and who sends each one.
During the program
Session notes, follow-ups, student questions, and community moderation.
Launches
The work behind a launch, from emails and webinars to the questions that land on cart-open day.
Where a coach’s hours really go
Coaches and course creators know how many sessions they ran this week. Fewer know how long the work around them took. Answering enquiries from three places. Booking discovery calls. Sending welcome packs. Writing session notes. Answering student questions in the community. Preparing the next launch. It’s spread across Kajabi, Calendly, Instagram, and Gmail, and it all runs through the founder.
How we map it
Mapping how you work (the industry calls it process mapping) means writing down each step of a job, who does it, which tool it happens in, and how long it really takes. For a coaching or course business, we follow one person from first enquiry to paying client or finished student. We look at where enquiries land, how calls get booked, how onboarding happens, and where student questions go. Then we mark the steps that repeat, the ones that wait on you, and the ones only you should do.

What mapping found in two businesses
We work with a solo business coach with an online course where the costly step was enquiries scattered across the website form, Instagram, and email. An AI helper now gathers them into one sorted list each morning with a draft reply for each, and the founder still books every call personally. We also work with a two-person online course business teaching bookkeeping where the costly step was student questions. The founders now answer about 20 a week instead of 120. Both steps sat outside the teaching itself.
Where mapping ends
A map shows today, and it won’t change anything on its own. It also needs the messy version of your week, including launch week. If it only shows a quiet month, AI gets pointed at the wrong step.
