Use AI in your store without risking customer data or bad replies

An online store holds thousands of customer names, addresses, and order histories, and a reply sent in your name is your promise. Both can go wrong with AI. We set simple rules for what customer data AI may see, which tools are approved, and which replies a person must check before they're sent. You keep the time AI saves, without the reply that tells an upset customer to have a nice day.

What we set up

Where an online store needs AI rules

01

Customer data

AI helpers only see the order details their job needs, and customer exports never go into free AI tools.

02

Payment details

Card and bank details stay inside Stripe, Shopify Payments, or Airwallex and never reach an AI tool.

03

Replies that need a person

Complaints, refunds, and anything about health or safety are flagged for a person, never sent on their own.

04

Approved tools

A short list of AI tools your team may use, with a one-page guide for casuals in the busy season.

Where the risk sits

Small stores pick up AI quickly. A help desk app adds an AI reply button. A review app writes responses on its own. Someone exports the customer list to a chat tool to plan a campaign. Each step saves time, and each one puts customer details or your store’s voice somewhere you haven’t really looked at.

The rules we put in place

Using AI safely (the industry calls it AI governance) means a few clear rules your team follows without having to think hard. We list what AI must never see, like payment details and full customer exports. We choose the tools your store approves and set them up on your accounts. We decide which replies a person must send, such as complaints, refunds, and anything about product safety. And we write a one-page guide for the casuals who help in busy season.

A store team reviewing which AI replies need a person's check

Why our store clients keep a person on replies

We work with a three-person online skincare store where an AI helper drafts replies to order emails from Shopify. Our first version sent simple replies on its own. Then it answered a customer whose jar had arrived broken with a cheerful tracking link, so we switched auto-send off. Every reply now waits for a person, and the founder still clears the order emails in about twenty minutes each morning.

What rules can’t stop

Rules only help if people follow them, and a guide can’t stop someone pasting customer details into a personal account. We make the safe way the easy way, but your store owns the decision. We also don’t give legal advice. Questions about the Privacy Act or product claims go to your adviser.

FAQs

Common questions

Is it safe to let AI read customer emails?
It can be, when it's set up on your own accounts and only sees what it needs. We also keep a person sending every reply, which is what our skincare store client chose after its first version got a broken-jar reply wrong.
Can AI make claims about our products?
Only from what's on your product pages, and a person checks anything about ingredients, safety, or results before it goes out. Your store is responsible for every claim, the same as before AI.
Does this make us compliant with privacy law?
We can't promise compliance, and you should check with your adviser. What we do is keep customer data in tools you chose and write down how your AI helpers handle it.
What does it cost?
Safe set-up is built into every package. Solo is $990 a month and covers 1 AI helper, 2 hours a month of our time, and AI running costs. The packages page shows the rest.
Where does our data live?
Most small stores run in the cloud, and your data stays yours. If some of it must stay on your own systems, we can set that up.
