Microsoft Copilot for small teams

Where it fits

How we use Microsoft Copilot for small teams

Microsoft Copilot is the AI built into Microsoft's apps. With Microsoft 365, it can help draft an email in Outlook, sum up a Teams meeting, or tidy a document in Word. For a small team already on Microsoft, that's AI in the place you already work. The catch is that Copilot can see what each person can see. If your shared folders have grown messy over the years, it can surface a payroll file or a client contract to someone who shouldn't read it. So we start underneath. We tidy who can see what, set up Copilot for the people who'll use it most, and show your team the jobs it does well on your own files. When a job repeats every day, we build it as an AI helper (the industry calls it an agent) instead.

What Microsoft Copilot is

Microsoft Copilot is the name Microsoft gives to the AI across its apps. For a business, the two that matter are Copilot Chat, which comes with Microsoft 365 work accounts, and Microsoft 365 Copilot, a paid add-on that works inside Outlook, Word, Excel, PowerPoint, and Teams. The add-on can read your work emails, files, and meetings, as long as the person using it already has access to them.

That last point shapes everything. Copilot follows your existing sharing settings. It doesn’t decide what a person should see. It shows them what they’re already allowed to open, even if nobody remembers sharing it.

How a small team uses it with AI

In a team of five on Microsoft 365, Copilot is handy for the small jobs that fill a day. It can sum up a long Outlook thread you were copied into, draft a reply, write up the actions from a Teams call, or turn notes into a first draft in Word. In Excel, it can help you sort and make sense of a table.

It works best for the person in front of it. It won’t watch your inbox overnight or fill in a weekly report on its own. Jobs like that need an AI helper (the industry calls it an agent) connected to the right mailbox or folder, running on its own schedule, with a person checking the result.

What we connect and build around it

  • A sharing check before Copilot goes on, so old shared folders don’t put the wrong file in front of the wrong person.
  • Using AI safely, with plain rules on what Copilot is for and what stays with a person.
  • Connecting your tools (data pipelines), when a job needs Microsoft 365 and another app, like your accounts or your store.

Where Copilot falls short

Copilot is only as tidy as your files. If your folders are a mess, its answers will be too. The paid add-on is a cost per person, so it’s easy to pay for seats nobody uses. And like any AI, it can sound sure of something that’s wrong, so check anything that goes to a client.

What we build

What we set up around Copilot

01

Tidy sharing first

We check who can see what across your shared folders and fix the gaps before Copilot is switched on, so it only finds what each person should.

02

The right people, the right licence

We help you decide who needs the paid Copilot add-on and who's fine with the free chat, so you don't pay for seats that sit idle.

03

Training on your own files

Your team learns where Copilot helps in Outlook, Word, Excel, and Teams, using real examples from your week.

04

AI helpers for daily jobs

When a job repeats, we build an AI helper connected to your Microsoft 365 that drafts the work for a person to check.

FAQs

Common questions

What's the difference between Copilot Chat and Microsoft 365 Copilot?
Copilot Chat is the AI chat that comes with Microsoft 365 work accounts. Microsoft 365 Copilot is a paid add-on that works inside Outlook, Word, Excel, and Teams and can use your work files and emails. Check Microsoft's current plan page for what your account includes.
Does Copilot use my business data for training?
Microsoft says it doesn't use your organisation's Microsoft 365 data to train its AI models. Copilot does read the files each person can open, though, which is why we tidy sharing before you switch it on.
Is Copilot worth it for a small team?
It's worth it for the people who spend most of their day in Outlook, Word, and Excel and can name a job it saves time on. It's often not worth it for everyone. We help you start with one or two people, then add more if the time saved is real.
What's Copilot Studio?
It's Microsoft's tool for building your own AI helpers on top of Copilot. It can fit a team that's all-in on Microsoft. For many small teams, we build the helper ourselves and keep you free to use any AI model.
Do I have to switch to Microsoft to work with you?
No. We set things up around the tools you already use. If you're on Google Workspace, we work there. If you're on Microsoft 365, we work there.
