n8n for small teams

Where it fits

How we use n8n for small teams

n8n is a tool for connecting apps and building steps that run on their own, a lot like Zapier. The difference is control. You can host n8n yourself or use n8n's own cloud, you can add code where clicking isn't enough, and it has strong building blocks for AI helpers (the industry calls them agents). That makes it a good fit once you're running a lot of steps, want your data kept on your own systems, or need something Zapier can't do. It's the wrong fit if you have five simple connections and nobody to keep a server up to date. We'll tell you which you are. When it fits, we build your workflows with error handling and alerts, and we look after them, so you're not the one fixing it on a Friday night.

What n8n is

n8n is a tool for building workflows that connect apps. You lay out the steps on a screen like a flow chart: a trigger, like a new email or a time of day, then the actions that follow. It connects to hundreds of apps, can call almost any app that offers a developer connection (the industry calls it an API), and lets you add code when a step needs it. It also has building blocks for AI models and AI helpers.

You can run n8n on your own systems or use n8n’s own cloud. That choice is the main reason people pick it over Zapier.

How a small team uses it with AI

For a small team, n8n is the engine behind jobs that run on their own. Each morning, a workflow can read the night’s enquiries, ask an AI model to sort them and draft replies, and drop the drafts in the right inbox for a person to check. On Friday, another can gather the week’s numbers from a few apps and fill in a report.

These are AI helpers (the industry calls them agents) running on a schedule. n8n handles the fetching, the waiting, and the retries, and the AI model handles the reading and writing. A person still checks anything that reaches a customer.

What we connect and build around it

  • Mapping how you work (process mapping), so each workflow does a job you’d otherwise do by hand.
  • Connecting your tools (data pipelines), including the apps that aren’t on the usual lists.
  • One home for your data (a data lake), when a helper needs information from several tools in one place.
  • Hosting and care, if you want n8n on your own systems.

Where n8n falls short

n8n asks more of you than Zapier. If you host it yourself, someone has to keep it updated, backed up, and safe. A workflow with lots of steps can get hard to follow unless it’s laid out and written down well. And for a team with a handful of simple connections, it’s more tool than you need.

Where this fits

See how this shows up in connecting your tools, automating repeat work, and one home for your data, and in industries like e-commerce and marketing and creative agencies. To see which jobs are worth connecting first, get your AI Starter Plan.

What we build

What we build on n8n

01

AI helpers that run on a schedule

A workflow that reads your new emails or orders each morning, asks an AI model to sort or draft, and leaves the result for a person to check.

02

Connections other tools can't make

When an app isn't on the usual list, n8n can talk to it directly. We build that connection and write down how it works.

03

Hosting looked after for you

If you want n8n on your own systems, we set it up, keep it updated, and back it up, so you don't need to learn server care.

04

Alerts and retries

Every workflow we build tries again when an app is slow and tells a person when it fails, so problems are seen the same day.

FAQs

Common questions

Is n8n the same as Zapier?
They do a similar job. Both connect apps and run steps for you. n8n gives you more control, including hosting it yourself and adding code. Zapier is quicker to start and needs nothing to look after. Many small teams are fine on Zapier.
Is n8n free?
n8n's code is open for anyone to read, and its licence lets you host it yourself for your own business. n8n also sells a cloud version and business plans. Check n8n's site for current terms. Hosting it yourself still costs a server and someone's time to look after it.
Can n8n run AI helpers?
Yes. n8n has building blocks for AI models and AI helpers, and it connects to Claude, OpenAI, and others. It's one of the ways we build AI helpers that run on a schedule.
Should I learn n8n myself?
If you enjoy it, it's a useful skill. Most founders we work with would rather spend that time on their business. We build and look after the workflows, and show you enough to understand what runs and why.
Where does my data go with n8n?
If you host n8n yourself, your workflow data stays on your own systems. If you use n8n's cloud, it's stored by n8n. Any AI model a workflow calls will still receive what you send it, so we keep that to what each job needs.
