How we use OpenAI GPT models for small teams

GPT is the family of AI models from OpenAI. Most people meet them through ChatGPT, but the same models can run inside your own tools through OpenAI's developer connection (the industry calls it an API). That's where they stop being a chat window and start doing a job. On their own, GPT models know the public web, not your orders, your clients, or your prices. So we connect a model to the information it needs, write down how it should answer, and test it on your own past work before it goes live. The result is an AI helper (the industry calls it an agent) that drafts the next step and waits for a person. We pick the model per job, and you're never tied to OpenAI or anyone else.

What OpenAI’s GPT models are

GPT is a family of AI models made by OpenAI. They read and write text, and newer ones can also read images. They power ChatGPT, and other software can use them through OpenAI’s developer connection (the industry calls it an API). OpenAI offers several sizes. The larger ones handle harder reasoning, and the smaller ones are faster and cost less to run.

A GPT model starts out knowing a lot about the public web and nothing about your business. It can also give a wrong answer in the same confident voice as a right one. Both of those shape how we build with it.

How a small team uses it with AI

The jump from ChatGPT to a GPT model in your own tools is the jump from you doing the copying to the AI doing it. A chat window waits for you to paste something in. An AI helper (the industry calls it an agent) watches for the new email, form, or file, looks up what it needs, and drafts the next step for you to check.

For a small team, that might mean drafting replies to booking enquiries, turning supplier price lists into a tidy sheet, or sorting incoming requests into the right list each morning. The work is the same every time, which is where an AI helper earns its keep.

What we connect and build around it

  • Connecting your tools (data pipelines), so the model sees the email, order, or record it’s working on.
  • Better instructions (prompt optimisation), tested on your own past work, so the helper gets it right more often and costs less to run.
  • A review step, so a person reads anything that reaches a customer, a client, or your accounts.

We pick the model per job. Sometimes that’s a GPT model, sometimes it’s another. Our client helpers so far run on Claude, and your instructions and data sit apart from the model, so a switch is a change on our side and nothing changes in your week.

Where GPT models fall short

A GPT model can’t check facts it can’t see, so if your price sheet is out of date, its quotes will be too. It doesn’t know what was said on a phone call. It can’t make the calls that need your judgement, like a refund, a complaint, or advice about someone’s own situation. Those stay with a person in every helper we build.

What we build

What we set up around GPT models

01

AI helpers inside your tools

A GPT model reads each new email, form, or file and drafts the next step where your team already works, instead of in a separate chat window.

02

The right model for each job

OpenAI offers larger and smaller models. We use a small one where a small one does the job, so your running costs stay low.

03

Tested on your own work

Before a helper goes live, we run it on your real past emails or orders and check how often it gets the answer right.

04

Room to switch

Your instructions and data sit apart from the model, so we can move a helper to another model if it does the job better.

About OpenAI GPT models for small teams

OpenAI GPT models for small teams is a foundation model. We connect it to the rest of your tools for teams of 1 to 10 people. Read more on the official site: https://openai.com.

FAQs

Common questions

What's the difference between ChatGPT and GPT?
GPT is the AI model. ChatGPT is OpenAI's chat app built on it. You use ChatGPT by typing into it. Your own software uses GPT through OpenAI's developer connection (the API), which is how we build AI helpers that work inside your tools.
Does OpenAI train on data sent through the API?
OpenAI says it doesn't use data sent through its API to train its models unless you choose to share it. We still keep what goes in to what the job needs and write down what data goes where.
What's Azure OpenAI?
It's Microsoft's way of running OpenAI's models inside Microsoft's cloud. It suits larger businesses that already run on Microsoft's cloud. Most teams of one to ten don't need it, and OpenAI's own connection is simpler to set up.
Do I pay OpenAI separately?
Not for the AI helpers we build and run for you. AI running costs are included in every Plexsive package, whichever model the helper uses.
Can a GPT model handle my customer emails on its own?
It can draft them well once it can see your orders and your rules. We still have a person read every reply that reaches a customer, at least until you've seen weeks of checked work and decide a simple step can run on its own.
