What Perplexity is
Perplexity is an AI search tool. You ask a question, it searches the web, reads what it finds, and writes a short answer with numbered sources. You can ask a follow-up question in the same thread, and it keeps the context. Spaces let you group research on one topic, add your own instructions and files, and share them with your team.
It’s quick, and the sources make it easy to check. It can still misread a page or rely on a weak source, so the answer is a starting point.
How a small team uses it with AI
Small teams use Perplexity for the research that has no clear owner. A marketing agency checks what a client’s competitors are posting about. A not-for-profit looks up what a funder has backed before. An online store finds out which overseas suppliers ship to Australia. Each of these used to take an hour of tabs. Perplexity gets you to the right pages in minutes.
The time saved only counts if the answer is right. So the habit we teach is simple. If a fact is going into a client email, a grant application, or a price, open the source and read the line it came from.
What we connect and build around it
- Shared Spaces for the topics your team comes back to, so nobody starts from scratch.
- Rules for using AI safely, so client details and private files stay out of searches.
- AI helpers for repeat research, when the same question comes up every week and the answer needs to land in a report or an inbox.
Where Perplexity falls short
Perplexity can only find what’s on the open web or in the files you give it. It can’t see your sales, your clients, or your inbox. It also can’t tell you what to do with the answer. Which supplier to trust, or whether a funder fits your mission, is still your call.
