What Zapier is
Zapier is an online service that connects apps. Each connection is called a Zap. It starts with a trigger, like a new order, a new form entry, or a new email with a certain label. Then it runs one or more actions, like adding a row to a sheet, creating a contact, or sending a message. Zapier connects thousands of apps, and you set it up by clicking through steps, without writing code.
It also has AI steps of its own, and it connects to AI tools like Claude and ChatGPT. That means a Zap can do more than move information. It can read it, sort it, and draft something from it.
How a small team uses it with AI
In a small team, someone is usually the human glue between apps. They copy new enquiries from the website into a spreadsheet, retype orders into a prep list, or forward booking details to the right person. Zapier takes those jobs off their plate.
Adding AI makes it smarter about what it moves. An AI step can read an enquiry and decide whether it’s a booking, a complaint, or a sales lead. It can pull a name, date, and budget out of a messy email. It can draft a first reply and leave it for a person to check. That’s an AI helper (the industry calls it an agent) running inside the Zap, and it means fewer things land in the wrong place.
What we connect and build around it
- Mapping how you work (process mapping), so we connect the steps that matter and skip the ones that don’t.
- Connecting your tools (data pipelines), with each Zap named, filtered, and written down.
- Alerts and a person in the loop, so a failed run or an odd AI answer gets seen the same day.
Where Zapier falls short
Zapier is only as steady as the apps it connects. When one changes, a Zap can stop without warning, which is why alerts matter. The bill grows with the number of tasks, so a busy Zap can cost more than you expect. And some apps only share part of their information with Zapier, so not every job can be connected this way.
