An AI helper that sorts your Gmail and drafts the replies you write every day
For most small teams, Gmail is where the work arrives. Customer questions, supplier invoices, booking requests, and repair jobs all land in the same inbox, and someone has to read each one, work out what it is, and write back. An AI helper (the industry calls it an agent) does the first pass for you. It reads each new email, sorts it, pulls in what it needs from your other tools, and leaves a draft reply waiting in Gmail. You read it, change what needs changing, and press send.

What we set up for you in Gmail
Sorting as it arrives
The AI helper reads each new email and labels it by type, such as an order question, a new enquiry, or an invoice, so you can see at a glance what needs you first.
Draft replies in your tone
For the questions you answer every week, it writes a draft reply and saves it in Gmail. Nothing goes out until a person sends it.
Answers from your other tools
We connect Gmail to the places the answer lives, like your store, your booking system, or a spreadsheet, so the draft has the real details in it.
Clear rules for what it skips
Complaints, anything urgent, and anything it isn't sure about get flagged for you and left without a draft.
We keep it running
When Gmail, Google, or your other tools change, we fix the AI helper. You don't need to know how it works underneath.
Your inbox is where the week goes
In a small business, Gmail is the front desk, the order book, and the filing tray. A customer asks where a parcel is. A supplier sends an invoice. A tenant reports a leaking tap. Each email needs someone to open it, decide what it is, find the right detail somewhere else, and write back. None of it is hard, but it adds up to hours, and most of it happens after the real work of the day is done.
Why Gmail on its own doesn’t do the job
Gmail is very good at holding email and finding it again. Its filters can sort by sender or subject, and its suggested replies can save you a few words. But Gmail can’t tell a polite complaint from a simple question, and it doesn’t know what’s in your store, your bookings, or your spreadsheets. The answer to most emails lives in one of those places, so the joining work still falls to you.
That’s the gap an AI helper fills. It reads the email the way a person would, looks up what it needs, and drafts the reply you’d have written, following rules you’ve agreed once.
How we set it up in Gmail
We work with a solo property manager who looks after 140 rentals. Repair requests came in by text, email, and the tenant portal, and every one had to be read, logged, and passed to a tradie. We set up an AI helper that reads each request, sorts it, asks the tenant for photos, and drafts the job for the tradie. The jobs are kept in Airtable so nothing gets lost between emails.
Requests are now logged the same day they arrive. Urgent jobs still go to a phone call, because a burst pipe needs a person on the line, not a draft. Read the property manager story.
The same shape works for other jobs. A three-person online skincare store uses an AI helper that drafts order replies with the tracking link in them, and the founder now clears those emails in about twenty minutes each morning. See the skincare store story.
For each one, we start by mapping how you work (the industry calls it process mapping). We write down how each kind of email gets answered, where the answer lives, and which emails should never get a draft at all.
When Gmail is the right place to start, and when it isn’t
An AI helper in Gmail pays off when the same few kinds of email arrive many times a week and the answers follow a pattern. Order questions, booking requests, quotes, invoices, and repair jobs are good first jobs. It’s a poor fit for emails that need a decision about money, a relationship, or a person’s wellbeing. Those get flagged and left for you.
