Zapier automations that take the copy-and-paste out of your week

Zapier connects the apps you already pay for, so something that happens in one sets off steps in another without anyone retyping it. A new form entry can land in your client list, a sheet, and your inbox at once. We build a small set of Zapier automations around the copy-and-paste that eats your week, name and document each one, and set up alerts so a broken run gets noticed. Where AI helps, such as sorting an enquiry or drafting a reply, we add it as a step a person still checks.

What you get

What we build for you on Zapier

01

Automations between your apps

Zaps that pass new orders, leads, bookings, and form entries between your store, inbox, spreadsheets, and client list.

02

AI steps where they help

Steps that use AI to sort an enquiry, pull details out of an email, or draft a reply, with a person checking anything that goes to a customer.

03

Alerts when something breaks

When a connected app changes and a Zap fails, someone gets told, so records don't go missing quietly.

04

Clear names and notes

Every Zap gets a plain name and a note on what it does, so you or we can fix it months later.

05

An honest cost check

Zapier charges by how much it runs. We design each Zap to avoid wasted runs and tell you if another tool would cost less.

You retype the same details into three different apps

You can name the jobs. A new enquiry comes in through the website form, and someone copies it into the client list and a spreadsheet. An order lands, and someone adds it to the packing sheet and the email list. None of it is hard. It’s just constant, and in a small team it lands on whoever has a spare ten minutes, which is usually you.

Why Zapier on its own doesn’t do the job

Zapier can connect almost any two cloud apps, and you can set up a simple Zap in an afternoon. For one plain job, that’s often enough.

The trouble starts when the easy version meets your real week. Some enquiries are from existing clients and need to go somewhere else. Some forms arrive half-filled. When a connected app changes, a Zap can stop working, and nobody notices until a customer chases you. Six months on, there’s a list of Zaps called “Copy of Untitled Zap” and nobody dares turn any of them off.

How we set it up on Zapier

We start by mapping how you work (the industry calls it process mapping). We list the jobs where details get copied from one app to another, how often each happens, and the exceptions that trip people up.

Then we automate one job at a time. Each Zap gets filters for your real exceptions, a plain name, and a short note on what it does. We add alerts so a failed run gets noticed the same day. Where AI earns its place, we add it as a step, such as sorting an enquiry into a type or pulling an order number out of an email. Anything a customer will read stays with a person to check.

We also look at the cost. Zapier charges by how much your automations run, so we design each one to skip wasted runs, and we’ll tell you if a job’s volume would make another tool cheaper.

When Zapier is the right call, and when it isn’t

Zapier is a good fit when your apps already connect to it, your volumes are modest, and you want something working in days without anything to host. That covers most of the copy-and-paste in a team of one to ten.

It’s a weaker fit when a job runs thousands of times a month, when the steps get very tangled, or when you’d rather keep data on your own setup. Then n8n may suit better. And if a job only happens twice a month, doing it by hand may still beat paying for an automation.

FAQs

Common questions

What does Zapier do?
Zapier connects cloud apps through ready-made triggers and actions. When something happens in one app, like a new order or form entry, Zapier can create, update, or send something in another app without anyone writing code.
Can I set up Zapier myself?
Yes, and many founders do for one or two simple Zaps. We help when the job has exceptions, when Zaps keep breaking, or when nobody knows what the old ones do anymore.
Does Zapier do AI?
Zapier has added AI features and can connect to AI models as a step in a Zap. We use those steps for jobs like sorting enquiries or pulling details out of emails, and keep a person checking anything a customer will see.
Is Zapier free?
Zapier has a free plan for simple automations and paid plans for more. Because it charges by how much your Zaps run, we tell you up front if your volume would make another tool cheaper.
Zapier or n8n?
Zapier is quicker to start and needs nothing to host. n8n can run on your own setup and can cost less at higher volumes. We pick by your apps, volume, and what you're comfortable looking after.
What does your help cost?
Every package has a fixed price, shown on the packages page before you talk to anyone. The AI Starter Plan is free and shows where to start.
