Using AI safely with Microsoft Copilot

Switch on Microsoft Copilot without surfacing files nobody should see

Microsoft 365 Copilot works with the files, emails, and chats each person can already open. That's what makes it useful, and it's also the risk. In many small businesses, folders were shared with everyone years ago, so payroll or a private client file can be one question away. We find and fix that sharing before Copilot goes on, write plain rules for your team, and check back after a month.

What you get

What we set up for you with Copilot

01

A sharing check

We look through your OneDrive, SharePoint, and Teams sharing and list the files and folders open to more people than they should be.

02

A tidy-up before switch-on

We fix the sharing with you, so sensitive files like payroll, HR notes, and private client work are only open to the right people.

03

Plain rules for the team

A one-page guide on what to use Copilot for, what to keep out of it, and which drafts need a second read.

04

A careful start

Copilot goes to one or two people first, so we can spot problems before the whole team has it.

05

A check after a month

We look at how it's being used and fix any sharing that slipped back.

Copilot is ready to switch on, and your folders aren’t

You’ve decided to try Microsoft Copilot, or you’ve already bought a few seats. Then someone mentions that Copilot can find anything a person has access to. You think about the SharePoint folder from three years ago that everyone could open, the payroll spreadsheet someone shared by link, and the client files a casual still has access to. Suddenly it’s not clear what a simple question might bring up.

Why Copilot on its own doesn’t keep you safe

Copilot follows the permissions you already have. It doesn’t break into locked files. But it makes open files much easier to find. Before Copilot, a file shared too widely sat unnoticed in a folder nobody opened. With Copilot, someone asks “what are we paying staff this year?” and the answer comes back.

Copilot can’t tell which of your files are sensitive. It doesn’t know that one spreadsheet is payroll and another is a price list. Fixing who can open what is a job for you, before Copilot starts answering questions.

How we set it up with Copilot

We start with a sharing check across your OneDrive, SharePoint, and Teams. We look for folders shared with everyone, links that let anyone with the link open a file, and old staff or contractors who still have access. You get a plain list of what’s open and who can see it.

Then we fix it with you, starting with the files that matter most, like payroll, HR notes, and private client work. We don’t lock everything down, because a team still needs to share. We make sure the private things are private.

Next, we write a one-page guide for your team. It covers what Copilot is good for in your business, what to keep out of it, and which drafts need a second read before they go out. Copilot then goes to one or two people first. A month later we check how it’s being used and whether any sharing has crept back open.

When a Copilot safety check is the right call, and when it isn’t

It’s worth doing before anyone on your team gets Microsoft 365 Copilot, and it’s most urgent if your business has run on Microsoft 365 for years with lots of shared folders.

If you only use the free Copilot chat and never connect it to your work files, the main risk is what people paste in, and plain rules cover most of it. And a sharing check is a snapshot. New files get shared every week, so someone needs to keep an eye on it, whether that’s you or us.

FAQs

Common questions

Can Copilot see files I can't?
Microsoft says Copilot only uses data the signed-in person already has permission to open. The risk is that many people can open far more than they realise, because of old sharing links and folders shared with everyone.
Does Microsoft train its AI on our files?
Microsoft says Microsoft 365 Copilot doesn't use your business data to train its models. We check the current terms for your plan with you, because the free and paid versions of Copilot are set up differently.
What should we keep out of Copilot?
That depends on your business. For most small teams, it's about making sure payroll, HR, and private client files are locked down, so Copilot can't pull them into an answer for the wrong person.
Do we need special Microsoft security tools?
Some Microsoft plans include extra tools for labelling and protecting files. For most teams of one to ten, tidy sharing and clear rules cover the biggest risks. We'll tell you if your business needs more.
What does it cost?
Every package has a fixed price, shown on the packages page before you talk to anyone. The AI Starter Plan is free and shows where to start.
